Follow the way people use the office
List reception, shared desks, meeting rooms and supporting facilities. Identify the surfaces that can be cleared and the areas with different patterns of use, rather than treating every square foot as the same task.

Make the opening and closing handover clear
Include first-arrival and last-departure times, late appointments and any staff who remain on site. The proposed access window must work for the office and the building, including sign-in or elevator permissions where applicable.
Agree what stays under your control
Documents, personal belongings, computers and specialist equipment are not assumed to be part of surface cleaning. Set a practical clear-desk arrangement and identify rooms that require separate authorization.
Separate your suite from shared building areas
An office request may stop at the tenant door. If you want a shared lobby, corridor or washroom included, identify its responsible contact and ask for that part of the scope to be listed clearly.
Turn the brief into a useful proposal
Ask for the rooms, tasks and proposed frequency in writing. Show consumables and occasional carpet, floor or accessible-glass work separately so future changes can be understood.
